The Firm has an opening for a full-time Litigation Legal/Executive Administrative Assistant in the Firm’s Chicago office.
The Opportunity
This person will support the Attorneys by performing a variety of Legal Assistant and Executive Administrative tasks that help manage legal cases and help keep the practice area running efficiently. This person will be participating in client calls along with counsel, and it’s imperative this person bring a professional and positive demeanor to the team. We are looking for someone with initiative and interest in expanding their duties within growing practice areas and is flexible to take on new tasks as assigned.
Essential Job Duties
- Organize and coordinate meetings & zoom calls, sending reminders and ensuring all necessary arrangements are in place
- Executive assistance with coordinating speaking engagements and attendance
- Prepare PowerPoint presentations
- Manage travel arrangements including air travel, car rental, hotel, and other accommodations, while ensuring cost-effectiveness and efficiency Organize and submit expense reports for attorney’s
- Opening new client/matter file
- Draft engagement letters
- Maintain spreadsheets
Requirements
- Strong organization skills with excellent attention to detail
- Excellent communication skills with ability to draft original correspondence
- Proficient in Microsoft Office Programs (Excel, Word & PowerPoint), including ability to redline and track changes by multiple attorneys
- Experience using NetDocuments or other document management system
- Experience with video chat programs (Zoom, Teams)
- Three or more years Litigation experience
- Experience with federal and state court filings
- Ability to work in high pressure situations under tight deadlines with flexibility to change work priorities
- Must be able to work independently, sometimes with little supervision to accomplish tasks
